Job Introduction

TBI’s Institute Resources Team supports and helps pave the way for the Institute to deliver its mission.  We are comprised of the Legal and Risk, Finance, IT, Ops & Security and People Teams.

We develop and deliver policies and processes that drive our working practices, mirror our values, and that are aligned with our strategic objectives.  We ensure that our organisational capabilities equip us to meet current and future challenges.

The People Team is an innovative, focussed and fast paced team which works closely with all parts of the Institute to create a talented, engaged and high performing workforce. We are an unpretentious and supportive team, and you’ll be just as comfortable working strategically with senior leaders as you are to offer practical help and support across the Institute.

We are seeking an additional HR Coordinator to join the People Team as the Institute rapidly scales: our existing programmes are expanding, we will be undertaking work in a further c13-15 new countries in the next two years, and are rolling out an ambitious new tech-based partnership.

Key Responsibilities

  • Supporting the HR Business Partners with cross Institutive initiatives such as wellbeing and performance management
  • Proactive administration of all HR processes such as new starters, contract extensions, leavers, promotions, secondments, references, probation reviews, parental leave, and flexible working requests
  • Provide professional and efficient administrative service from the start to end of the employee lifecycle
  • Responsible for the data integrity of information held in our people management system (CIPHR) and ensuring it’s always up to date
  • Support with the Institute’s annual and periodic audit requests
  • Supplier liaison and administration: managing reports and invoicing (e.g. OH, EAP, LinkedIn)
  • Maintaining and co-creating content within our Learning & Development platform (LinkedIn Learning)
  • Support the HR Business Partners with formal meetings for various Employee Relations cases (e.g. disciplinaries and grievances)
  • Producing scheduled and ad-hoc HR reports from our people management system
  • Coordinating our onboarding process (e.g. organising inductions and managing our ‘buddy’ programme)
  • Lead our people management system data administration – data maintenance, reporting and user configuration
  • Assisting with monthly payroll processes
  • Supporting, and eventually leading on, HR project work and new initiatives

Person Specification

  • Fluency in French and/or Portuguese highly advantageous
  • Strong organisational and time management skills and experience of managing and prioritising workload
  • Able to manage conflicting demands and an ability to prioritise accordingly
  • Can demonstrate discretion and respect for confidentiality when dealing with sensitive information or personal matters
  • Understanding of UK employment law and the role of a modern People Team function
  • Experience of administration or record management with a desire to get it right
  • Familiarity with Microsoft programmes and intermediate competency in using Excel, Word, and Power point (and keen to learn more!)
  • Some knowledge of international employment law advantageous (e.g. US, Middle East, Africa)
  • Full understanding of HR functions and best practices
  • Excellent written and verbal communication skills
  • Degree in Human Resources or related business area advantageous

  • Renewing the Centre: developing a bold and innovative domestic policy programme to help renew the centre ground of British politics; 
  • Tech and Public Policy: exploring the policy challenges and opportunities presented by the technological revolution; and 
  • Extremism Policy Unit: creating solutions designed to tackle the threat of extremist ideologies in the UK and around the world.
